We are delighted you are interested in our company and would like to apply for or have applied for a position. Here, you will find information about how your personal data is processed when you submit an application.

What data is process by us? And why? 

We process the data you have sent as part of your application to check your suitability for the position (or any other vacancies within our companies) and to administer the application process. If you decide to participate in the application process with us, you voluntarily provide us with personal data as part of your application. 

This data may include:

  • Contact details (first and last name, e-mail address, telephone numbers) 

  • Address (House number, street name, city, state, ZIP code). 

  • Date of birth and place of birth, nationality 

  • (Work) Certificates 

  • Information on general competences (driving license with information about vehicle classifications, language skills) 

  • Resume 

  • Photograph (optional) 

What is the legal basis for this? 

The legal basis for processing your personal data during the application process is Art. 6 Para.1 (b) DSGVO (German Data Protection Regulation) and Section 26 BDSG (German Federal Data Protection Act) in the version valid from 05/25/2018. These allow processing of relevant data to support a decision on establishing an employment relationship. 

Should data be needed for legal proceedings after completing the application process, data processing based can be performed based on the requirements of Art. 6 DSGVO, in particular to exercise legitimate interests according to Art. 6 Para. 1 (f) DSGVO. Our interest then consists in the assertion or defense of claims.

How long is data stored? 

Applicants’ data will be deleted after 6 months if the application is unsuccessful. If you have consented to further storage of your personal data, we will transfer your details to our applicant pool. There, data is deleted after two years. If you have been offered a position as part of the application process, your data will be transferred from the application system to our personnel system.

Who will my data be passed on to? 

We use cloud-based Human Experience Management (HXM) software from an external service provider for the application process and the entire HR area, among other things. The software is made up of various modules and can map the entire Employee Life Cycle in a company, from recruiting and onboarding through the various HR administration and talent management processes to learning management and the analysis of HR data. Other service providers work for us and may also become aware of your personal data in connection with the maintenance and servicing of other systems. The service providers commissioned by us could make use of further service providers or share the data with their affiliated companies, which may have a registered office in a third country (including the USA). We have concluded a so-called order processing agreement with the service providers commissioned by us, which ensures that the data processing is carried out in a permissible manner.

After your application has been received, your applicant data will be screened by the HR department. Suitable applications are then forwarded internally to the department heads for the respective open position. The further procedure is then coordinated. In principle, only those persons in the company have access to your data who require this for the proper conduct of our application process.

Your rights as data subject

You have the right to receive information about the personal data processed by us about you. When an inquiry is not made in writing, please be aware that we may then require proof that you are the person you claim to be.

Furthermore, you have the right to correct, delete, or restrict processing to the extent that you are legally entitled to do so.

Finally, you have a right to object to processing within the framework of the legal requirements. The same applies to a right to data transmission. Please note that if an objection is lodged, the application cannot proceed.

Your right to complain to a supervisory authority

You have the right to complain about the processing of personal data by us to a supervisory authority for data protection.
